Zapier as Infrastructure: Our Automation Layer for Real-World Ops

Not all automation happens on the factory floor.

At West End Digital, we’ve found some of the biggest improvements come from automating the behind-the-scenes workflows — the stuff that slows teams down, introduces errors, or gets overlooked in day-to-day operations.

That’s where Zapier comes in.

It connects the tools we already use — like Shopify and QuickBooks Online — and handles repetitive admin work that used to require checklists, memory, and manual entry. It’s helped us respond to customer requests faster, onboard suppliers more smoothly, and reduce the risk of things falling through the cracks.

And while Zapier is designed as a no-code platform, we’ve started layering in lightweight JavaScript — often written or assisted by AI — to push its capabilities further without needing a full development cycle. At a recent Zapier meetup, it was clear: companies across industries — including nonprofits and service businesses — are doing the same. The line between technical and non-technical teams is starting to blur.

Here’s a quick breakdown of what we’re automating:


Auto-Sending Banking PDFs (with Built-In Approval)

When a customer needs our wire or ACH details, Zapier sends a secure PDF — but only after an internal approval step.

It’s fast, consistent, and ensures sensitive information is sent intentionally — not reactively.


Routing Supplier Forms (Without the Follow-Ups)

Vendor forms and onboarding requests used to bounce around inboxes. Now, when a form is submitted, Zapier routes it to the right people and folders instantly.

No parsing, no delays — just clean handoffs that let us move quickly on compliance and setup.


Fulfillment → Invoicing in QBO

Once an order is fulfilled, Zapier checks the order type (manual, online, updated shipping) and creates the appropriate invoice in QuickBooks. Each path follows different logic — but they all end with clean, consistent billing.

No more missed steps or “Did we invoice this?” moments.


Adding Guardrails Without Adding Friction

Some automations include a built-in pause. For example, sending out financial documents might trigger an email for internal review before it proceeds. It’s just enough of a checkpoint to keep control — without slowing down the overall flow.

  • Speed up response time to customer and supplier requests
  • Build internal processes that scale without additional staff

 

It’s become core infrastructure — quietly running in the background, enabling us to move faster and more reliably.


Where It’s Going

What’s exciting is how automation is evolving. With AI making it easier to generate light code, teams like ours can now customize workflows in ways that used to require a developer. At the meetup, we heard from companies using Zapier in combination with custom scripting, APIs, and large language models — and the gap between idea and implementation is getting shorter.

We’re not trying to become a software company. We’re just building a better-run company — one workflow at a time.
